IMMEDIATE SUPERVISOR: Facility Director

SALARY: $47,977.00 - $53,414.00 annually (commensurate with experience)

GRADE: 14

EMPLOYMENT STATUS: Non -Exempt
DEPARTMENT/LOCATION: CVCSCD-CCF

POSITION OVERVIEW:

The Purchasing Coordinator is responsible for resource management, compliance, accounts payable, and purchasing functions for both CCFs as directed by Facility Directors or Executive Director.


THE CONCHO VALLEY CSCD-CCF IS A DRUG FREE WORK ENVIRONMENT. ALL PERSONS SELECTED

Purchasing Coordinator
PRINCIPLE DUTIES AND RESPONSIBILITIES:
1. Must be familiar with CJAD/ TG County/ CSCD bidding and purchasing
policies and procedures.
2. Purchases all Facility supplies, maintenance parts, and food following CRTC
guidelines and maintaining budgetary requirements.
3. Works closely with all departments on ordering supplies.
4. Process requests for purchases from all departments
5. Monitors inventory and backstock to ensure essential supplies are available.
6. Purchase supplies for all departments
7. Schedule and coordinate supply deliveries department wide
8. Keep track of back orders, shipping notifications, delivery tickets and
invoices.
9. Keep records of past purchases and vendor information.
10. Work closely with budgeting personnel.
11. Transporting supplies from vendor to facility and on to individual departments
12. Interviews potential service contractors
13. Prepares requests for quotes, contacts possible vendors, coordinates site visits.
14. Fields questions from potential vendors on project or item specifications.
15. Conducts final walkthroughs on finished jobs.
16. Contacts vendors on warranty work.
17. Contacts vendors for errors on invoice.
18. Proficient in information systems including Outlook, Excel, Tyler Munis and
other relevant resource management tools.
19. Upon direction of Facility Director, reviews and monitors contract services
utilized by the Facility for compliance with purchasing guidelines.
20. Ensure compliance of all activities with local, state, industry, and CSCD
standards.

21. Performs other duties as assigned by the Facility Director or Executive
Director.
22. Conducts self in a professional manner with staff, colleagues in the criminal
justice system and with the public.
23. Complies with CJAD Standards; Residential Code of Ethics; Departmental
policies and procedures.

MINIMUM QUALIFICATIONS:
High School Diploma or GED required; Associates Degree preferred
Experience in Community Corrections/Government Purchasing preferred.
Experience in bookkeeping and/or government fund accounting.
Possess high level of organization skills
Ability to effectively and consistently communicate the mission and philosophy of the
department
Be able to work independently and efficiently
Possess skills to communicate effectively both orally and in writing.

SPECIAL KNOWLEDGE, SKILLS AND ABILITIES:
Ability to take direction and critique from supervisory personnel
Ability to follow the philosophy, policies, procedures and directives of the Concho
Valley Community Supervision and Corrections Department and Community Corrections
Facilities

ADDITIONAL REQUIREMENTS:
Must possess a valid Texas Driver’s License (if employee is coming to this position from
another state, this requirement must be met no later than thirty days following date of
employment)
Must have appropriate and current automobile insurance
